Abstract

This research is motivated by problems in archive management that are not optimally implemented. The problem that often occurs is the absence of an integrated recording system. Currently, many documents are still recorded manually, making it difficult to manage and access them effectively. This research was conducted to find out how to manage dynamic archives and look at the supporting factors in managing records at the Palembang City DPRD Secretariat. This research use desciptive qualitative approach. Data collection techniques used are interviews, observation, and documentation. This research refers to Palembang Mayor Regulation Number 31 of 2020 concerning Guidelines for Dynamic Archives Management Article 3 paragraph 3 consisting of: 1) Creation, 2) Use, 3) Maintenance, and 4) Depreciation, and is supported by Ida Nuraida's archive management theory. The results of this study indicate that the overall management of dynamic archives at the Palembang City DPRD Secretariat includes: 1) Creation of dynamic archives consisting of creating incoming and outgoing letters. 2) the use of archives consists of borrowing archives where there is no procedure and retrieval takes a long time. 3) maintenance is carried out sober and not carried out periodically. 4) depreciation which is carried out by two means of destruction and transfer. Supporting factors such as a classification storage system, generally good archival facilities, inadequate archiving staff, and a good working environment for archives
